For a seated meal, start with one chair per expected guest. If numbers are still moving, a small buffer can help, but avoid over-ordering before you know the room and format. Cocktail events can use a lower seated-to-standing ratio when bar tables and casual zones are included.
Plan each event zone
A ceremony, dining space, food service area and drinks zone can all need different furniture. Mapping those zones first makes it easier to see whether you need white chairs, plastic chairs, round tables, trestle tables or bar furniture.
The goal is not to fill every corner. Leave enough circulation space for arriving guests, catering and movement between food, seating and drinks.
